RewardLoop owner sign-in screen used by store staff and owners

Owner access

Same account email

Owners sign in with the same email they used during signup, so setup and daily use stay connected.

Till-side flow

Built for busy service

Staff can use the app on till or front-of-house devices without adding extra hardware.

Setup first

Start Free shows the plan, launch timing and go-live route before billing begins.

Live flow next

Staff select the purchase, show a short-lived QR or scan wallet pass, then redeem rewards when they appear.

Visibility after service

Owners review transactions, charts and suggestions in Data Hub, with richer visibility building as customer activity grows.

Start Free gets the account and launch route clear first

Setup and Go Live stay separate. Complete the account, confirm launch details and review materials before billing begins at activation.

What happens before launch

  1. Open Start Free and choose Essential, Starter or Growth.
  2. Create the account with the email you will use later in the owner app.
  3. Complete setup details, reward structure and launch information.
  4. Review the branded poster and launch materials RewardLoop prepares.
  5. Move to go-live later when the account is ready.

No charge at signup. No charge during setup. Monthly billing starts only when you go live and activate your plan.

Go live Activation stays separate and only starts when the launch is genuinely ready.

Launch status, poster approval and materials preparation stay pre-live, separate from billing and daily admin.

  • Standard launch support and branded digital poster preparation.
  • Launch-status visibility while materials are being prepared.
  • Optional Print and Deliver for a finished in-store pack with double-sided A2 posters and 10 A5 laminated till versions.
  • A clearer handoff into Go Live / Activate Plan later.

Customers can join from a poster and choose your store before the till flow begins

Customers see the poster, scan the QR, choose your store and return to the same store experience later.

The QR prompt makes launch materials a practical join route.

Customers select your store

The first choice turns RewardLoop into your store experience.

The app can reopen into your store

Once selected, that store view can become the customer's familiar home for rewards, wallet actions, suggestions and the Visit Store button where configured, so moving from reward tracking to real-world store details still feels smooth.

What customers can do before they reach the till

  • Track reward progress in the store page they chose.
  • Add wallet pass if they want a quicker repeat route.
  • Leave suggestions and stay connected to updates.
  • Use your chosen Visit Store button, such as a website, Google Maps listing or another useful destination, where configured.

Many stores use Google Maps so customers can find directions or store details quickly, but the destination stays configurable to the link that suits your business.

The live owner flow stays practical during service

RewardLoop is designed for real counter work. After customers choose the store in the app, owners sign in, staff select the purchase, the customer collects progress through the QR route or staff scan the optional wallet pass and the app keeps the next action clear.

Account access, loyalty data and the live QR or reward flow stay connected through trusted cloud-backed infrastructure, so staff do not need extra hardware or manual reconciliation.

2 Select purchase

Choose count or spend amount

Visit, drink and meal programmes use count-based entry. Spend-led reward structures use amount entry. Both models stay quick enough for busy service.

3 Collect progress

Customer scans QR or staff scan wallet pass instead

After staff select the purchase, RewardLoop gives the customer two simple ways to collect progress.

Short-lived QR

Customer scans the app QR

The owner screen shows a short-lived QR for the customer to scan in the app. It closes after a successful collection so the counter flow stays clean.

Optional faster route

Staff scan the wallet pass

When the customer prefers wallet convenience, staff can scan their pass instead. If a reward is ready, RewardLoop shows the action prompt; otherwise staff continue into the normal purchase flow.

Validated collection flow

Either route updates the same customer progress

Both routes feed the same loyalty progress behind the till. The QR closes after successful scanning and wallet stays available as the optional faster route, not a requirement.

The real flow shows staff tapping the visit count, the owner QR appearing, the customer scanning from their phone and the QR closing after successful collection.

Reward redemption is confirmed in the live flow

When a customer has a reward available, RewardLoop presents the next action clearly. Staff can redeem the reward from the wallet-scan flow or from a customer app reward claim, the app confirms it and progress resets so service can continue cleanly.

The app stays central and wallet pass stays optional

RewardLoop does not force one customer path. The app remains the full branded and gamified experience, while wallet pass offers quicker repeat access for customers who prefer it.

The app is the full experience

RewardLoop branded store home screen showing progress rewards and customer actions in the full app experience
Customers track progress, rewards and store actions in the full RewardLoop app journey.

The app is where the fuller branded and gamified experience lives. That keeps customer progress, rewards and communication in one place.

Wallet pass is convenience, not a requirement

Wallet pass is available for customers who want a quicker repeat-visit route.

Customers can keep using the app or use wallet pass based on preference. Wallet pass speeds access, but it does not replace the app or become mandatory.

Owners can review what happened in one clear owner view

After service, Data Hub keeps transactions, charts and suggestion-box visibility together so owners can improve the programme from real use rather than guesswork.

Owner visibility

Keep transactions, customer context and suggestions connected

Data Hub keeps the practical owner follow-on flow together, so a recent transaction can lead into customer detail, anonymous feedback and broader performance views without bouncing between disconnected tools.

  • Transactions

Review recent loyalty activity and open linked customer detail.

  • Customer detail

Understand progress, reward history and the context behind an interaction.

  • Suggestions

Read anonymous customer suggestions in one organised place.

  • Charts

See range-based performance views and branch comparisons as activity builds.

Charts become more useful as customer activity builds. Growth then adds branch-aware comparisons where that extra visibility genuinely helps.

Ready to move from understanding to setup?

Start Free is still the clearest route for new merchants. Use it when you are ready to set up the account and launch path. Use Book a Demo only if you still want guided help after seeing the full workflow.

Billing still begins later at Go Live / Activate Plan, not during setup or materials preparation.
